Position Summary

We are seeking a highly skilled and detail-oriented Legal Secretary with five or more years of experience supporting attorneys in a fast-paced legal environment. The ideal candidate is an organized professional who demonstrates discretion, strong judgment, and the ability to manage competing priorities while providing high-level administrative and legal support. This role requires advanced knowledge of legal procedures, document preparation, and court filings, as well as excellent communication and time-management skills.

Key Responsibilities

  • Provide comprehensive administrative and secretarial support to attorneys, including calendar management, scheduling meetings, coordinating travel, and handling correspondence.
  • Draft, edit, proofread, and format legal documents such as pleadings, motions, briefs, contracts, discovery materials, and correspondence, ensuring accuracy and compliance with court rules and firm standards.
  • Prepare and file documents with state and federal courts, including e-filings, and monitor deadlines, statutes, and court calendars to ensure timely compliance.
  • Manage case files and legal records, both electronic and physical, maintaining organization, confidentiality, and version control.
  • Coordinate with clients, court personnel, opposing counsel, and internal stakeholders in a professional and courteous manner.
  • Assist with trial preparation, including organizing exhibits, binders, subpoenas, and witness materials.
  • Track billable time, prepare expense reports, and assist with client billing and invoicing as required.
  • Conduct basic legal and factual research when needed and support attorneys with case management tasks.
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive and privileged information.

Required Qualifications

  • Minimum of 5 years of experience as a Legal Secretary or in a similar legal administrative role.
  • Strong knowledge of legal terminology, court procedures, and filing requirements.
  • Advanced proficiency in Microsoft Office (Word, Outlook, Excel) and legal document management and e-filing systems.
  • Exceptional attention to detail with strong proofreading and organizational skills.
  • Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
  • Excellent written and verbal communication skills.
  • Professional demeanor with a strong commitment to client service and teamwork.

Preferred Qualifications

  • Experience supporting multiple attorneys or working in a mid-to-large law firm.
  • Familiarity with practice-specific areas such as litigation, corporate, real estate, or employment law.
  • Paralegal certificate or relevant legal education is a plus.
